Writing a Clear and Strong Scope for Research Agreements

The Scope of Work (SOW) defines what Pitt will do under a research agreement. A clear SOW reduces delays during negotiation and helps prevent disputes once work is underway.

A strong SOW includes:

  • Objectives: A brief statement of the research questions or goals.
  • Tasks and Methods: The Pitt-specific activities to be performed, not just the desired outcome.
  • Deliverables: Tangible outputs (e.g., reports, datasets, prototypes) with enough detail to confirm completion.
  • Timeline: Project period and milestone dates tied to deliverables.
  • Roles and Responsibilities: Identification of the Pitt Principal Investigator (PI), key personnel, and what each is responsible for in the project.
  • Reporting Requirements: Frequency, format, and recipients of technical reports.

Why It Matters: The SOW is referenced throughout the life of the award for invoicing, reporting, amendments, and close-out. A well-written SOW protects the PI, Pitt, and the sponsor by setting clear, mutual expectations. If a SOW needs to be revised during a project, please work with the Office of Sponsored Programs to request a formal contract amendment or prior approval request.
