Team Assignments


The Grants Management Services team is structured to facilitate expeditious processing by a linear process flow. Our work is organized into functional groups so that related activities are handled consistently and efficiently across the portfolio, including:

  • Intake Coordinator, monitors and processes all incoming electronic correspondence to the central OSP email account (osp@pitt.edu) ensuring that proposals, award actions, and sponsor communications are directed to the appropriate Grants Management staff for follow-up.
  • Administrative Coordinators, conduct the setup, routing, and activation of AWD MyFunding records, verify required documentation and data, and coordinate compliance checks and signatures. Coordinators also initiate and process advance account requests to support researchers who need to begin work prior to receipt of finalized funding.
  • Grants Analysts, review and submit proposals for NIH K, R03, and R21 mechanisms, as well as NSF proposals and selected foundation submissions. Analysts handle NIH Just-In-Time requests, progress reports, Final Invention Statements, and relinquishing statements, ensuring timely communication with sponsors and compliance with federal requirements. Analysts also process no-cost extensions, VA IPA and MOU actions, and other simple amendments involving only changes in time or funding.
  • Grants and Contracts Officers, review and submit complex proposals to federal, non-profit/foundation, and industry funders, including cases where Pitt serves as a subrecipient. Officers coordinate sponsor communications, prepare and route required documents and approvals, and manage amendments that involve term and condition changes. The Officers also prepare and submit prior approval requests to sponsors when changes in scope, key personnel, or other major changes arise during the life of an award.

The Grants Management Services team allocates work on a constituency basis.  Each department is assigned multiple members of our team who are responsible for the review, processing, and submission of proposals and other pre-award activities. This approach allows each member of our team to become familiar with the departments he/she is responsible for and the specific types of research these departments conduct.  Likewise, this distribution of assignments builds rapport between the faculty, departmental research administrators and our Grants Management Team.
