The Use of Department Approval Memos by the Clinical and Corporate Contracts Team

The Clinical and Corporate Contracts Team uses the Department Approval Memo (“Memo”) for verification and documentation of approval for all funded agreements, amendments to funded agreements, and for those no-cost extensions and add-ons which require formal contract amendments.  The Department Approval Memo is sometimes referred to as the “Letter 10.” The Department Approval Memo does the following:

1.      Certifies that the PI, Chair and Dean have reviewed and approved the agreement or amendment, as well as any exhibits and attachments to that agreement;

2.      Certifies that the Chair and Dean have reviewed and approved the corresponding paperwork (136-1 and -2 forms, 0202, detailed department budget) and any other appropriate approvals to accompany the agreement;

3.      Signals and formally confers permission from the department for the Office of Sponsored Programs to obtain the authorized institutional signature.

Some key areas that the department and PI should read closely are the period of performance dates, reporting requirements, funding, confidentiality, intellectual property, publication, term and termination.
